Exporting Your Project Data & Data Deletion

Understanding Data Retention

Indeemo hosts your project data for the duration agreed upon in your project or annual subscription contract.

To ensure you have a permanent record of your insights, we have designed our system to help you easily export and save your data before your project access concludes and the project data is deleted.

  • Check your Timeline: You can view the project Dashboard Access End Date and Deletion Date* on each project card in the 'Manage Projects' tab.

  • Securing Your Data: We recommend exporting your data before this date to ensure you maintain a full offline archive of your project.

Data will be automatically deleted on this date. This deletion is permanent and cannot be reversed

Automated Export Emails (Project Owners)

To help manage this process, we have an automated system in place to support Project Owners.

Two weeks before your Dashboard Access End Date, the Project Owner will receive a series of courtesy emails.

These emails include:

  • Direct download links for your project assets.

  • Helpful instructions on how to download additional data. 

Recommendation: We encourage using all the export options listed below to ensure you have a complete and comprehensive dataset saved to your internal systems.

Bulk Media Export

Available to: Project Owner Only | Timing: Any time after fieldwork ends

The Bulk Media Export is the most efficient way to download all photos, videos, and screen recordings from your project in one go.

How to Request a Media Export:

  1. Go to Manage Projects on your Dashboard.

  2. Click the "..." (options menu) on your project card.

  3. Click Export Media.

  4. Select your target groups and click Request Export.

Downloading Your Files: You will receive an email containing ZIP files organized by respondent. Please allow up to 30 minutes for the system to generate these.

  • Step 1: Click the first link and wait for the download to complete.

  • Step 2: Proceed to the next link only after the previous one has finished.

  • Note: These links remain active for 14 days for your convenience.

File Structure:

  • The Link: Typically 1-2 links per respondent (Max 2GB per link).

  • The Folder: Named as Target Group_Respondent Name_ID.

  • The Files: Named as Task Name_Response ID.

Pro Tip: You can cross-reference the Response ID in the file names with Column R in your Dashboard Excel Export to easily match media to specific responses.

Dashboard Excel Export

The Excel export acts as your "master file."

It contains all text responses including transcripts, and includes individual download links for every piece of media (photo, video, screen recording) adjacent to the relevant response.

How to Export:

  1. Navigate to the Dashboard view.

  2. Set your desired filters (e.g., by Project or Respondent, etc).

  3. Click the Export button located to the top right of the screen.

  4. Select Export to Excel. You will receive an email with your secure download link shortly.

Depending on your reporting needs, you may wish to export additional data.

Recruitment & AI Exports

Recruitment Data

You can export your Screener questions and the list of Applicants directly from the Recruitment tab.

  • To Export Screeners: Go to Recruitment > Select Recruit > Click Edit > Go to Step 3 (Questions) > Click Download to Word.

  • To Export Applicants: Go to Recruitment > Select Recruit > Click Download Respondents (Top right). This generates an Excel file.

AI View Prompts & Results

Note: To protect privacy, moderator prompts are private to the individual. Please advise all moderator colleagues to export their own data.

  1. Click Search Prompts on the top left of the AI View.

  2. Select your filters (e.g., select only one Project) and click Search.

  3. Click the Export button that appears.

  4. Check your email for a message from support@indeemo.com with your download link.
